Your contribution (key responsibilities and accountabilities)
To be successful in this role you will provide high level confidential administrative and operational support to the GMIOD including:
- Analysis, coordination and preparation of departmental, ministerial, parliamentary and cabinet briefings, agendas, reports, submissions and presentations/events
- Diary and travel management; monthly budget monitoring and analysis, processing expenditure approvals, invoices and accounts; reconciling monthly corporate cards
- Ensure quality control and efficient processing of all ministerial, senior executive and key stakeholder briefing materials are in place
- Undertaking research and analysis to identify a range of options to support executive decision making
- Maintaining excellent working knowledge of current matters relevant to the GMIOD.
- Actively participate in the delivery and coordination of other business management functions and projects both domestically and internationally as required.
- Maintain a high level of accuracy in all administrative documents associated with activities within the division.
- Coordinate stakeholder responses across the division on a range of operational and policy matters.
- In consultation with the Principal Advisor develop, implement and continuously improve office management systems including information management, filing and tracking systems.
- Establish and maintain effective communication strategies, protocols, stakeholder negotiation and liaison activities across cultures and other private and public sector organisations.
- Develop and foster effective relationships with key stakeholders across local, state and federal agencies, industry to continue to build commitment to long term growth.
