Job Description Summary

An exciting Opportunity has arisen for an Administrative Coordinator to join ServiceStream in our Collins Street office.
About the Role

ServiceStream's Telecommunications division are currently seeking an Administrative Coordinator to join our growing company. This role is responsible for the on-going administration of project activities within the NBN Unify Services contract - ensuring processes are followed, relevant documents are communicated, and completion activities are fulfilled.

Nature of position: Permanent, Full Time

Location: Collins Street, VIC

Reporting Line: Complex Manager

Key Responsibilities

The Administrative Coordinator plays a key role in the project administration function - ensuring that internal and external stakeholders are provided with the appropriate materials and data to achieve Invoicing/Payment activities.
- Process activities in priority of project completion order Work within and effectively manage a shared mailbox
- Work with the Regional and National teams to carry out final commercial checks for project completion Maintain databases relating to activities in your project area
- Ensure all changes to projects are captured and communicated to the relevant stakeholders Work with the Service Stream Regional teams in building on information accuracy and quality.
- Provide support to managers/process owners in:

- Ensuring compliance to processes via assessment mechanisms.
- Using problem solving tools to determine root causes and suggest solutions from various perspectives of data to make decisions
- Ensuring the processes are continuously being improved and optimised Report weekly to relevant stakeholders on the overall status of open projects.

About You
- Experience with database systems
- Proficiency in MS Office Suite
- Experience in stakeholder and client management
- Sharp attention to detail
- Well-developed verbal and written communication skills
- Ability to work autonomously when required.
