**The Position**

A great opportunity has become available for an experienced Executive Assistant to support the Director and Founder of one of Victoria's Largest privately owned property Development companies with a highly reputable organization team with a growing portfolio of large lot Multi Unit Townhouses, Apartments, Hotels, Commercial and Retail Projects all in the planning and execution phase.

This Position is located in the CBD, is maternity leave position and the ability to speak Mandarin highly desirable but not essential, parking options are available.

This role gives you the opportunity to work in a thriving team, where no two days are the same. You will provide strategic support and operational assistance across a range of sensitive and confidential issues and departments. Your ability to coordinate and manage varying expectations and daily workflows will be highly attractive for this position.

**Key Responsibilities**

The purpose of the Executive Assistant is to provide a high level, quality and comprehensive executive assistant support to the Director, enabling the ability to undertake his role effectively and efficiently.

Your key responsibilities will include, however are not limited to:
Manage the Directors diary

Maintain effective relations with key stakeholders (both internal and external).

Assist with monthly and ad hoc report production.

Assist in the preparation of strategic and annual business plans.

Arrange and coordinate strategic meetings (and other forums) including agenda development, minute taking, report preparation and coordination, preparing presentations; and arranging facilities, social events, accommodation and catering for each function.

Provide a high standard of general executive assistant and administrative services.

Ensure invoices are coded correctly, authorised forwarded to Finance

Arrange travel, transport and accommodation for the Director

Booking meetings with the industries best known executives within the industry

**Skills & Experience**

In addition, you will also:
Extensive experience in interacting with multiple stakeholders;
Adaptive communication style to ensure an open, professional and friendly manner to all levels within the organisation;
Flexible work approach to meet the varying demands of an ever-changing and fast-moving environment;
Ability to professionally manage scheduling conflicts and recommend appropriate solutions;

Preferably be able to speak Mandarin
