
Program Administrator/Customer Service Officer

BCR Communities is a not-for-profit community organisation proudly serving communities within the Illawarra and Shoalhaven since 1991. We have been providing Youth & Community and Disability Services within the Bay & Basin region, the home of our Activities Hub, Community Centre and Bay & Basin Community Radio Station 92.7FM, for over 30 years. BCR is also a local leading provider of Aged Care services, including Commonwealth Home Support (CHSP), Home Care (HCP) and Short-Term Restorative Care (STRC).
We are recruiting a new full-time role to jointly support our lawn, garden and building maintenance services and to work as an integral member of our Customer Service Team.
As a Program Administrator, you will be at the forefront of our client interactions within the Home Maintenance Program, internal lawn, garden and building maintenance services, as well as supporting the growth and development of our Social Enterprise Services. You will ensure both external and internal clients receive prompt and professional support, clear communication and that all works are smoothly delivered to a high standard. This position will be based from our Sanctuary Point Office with travel to client homes or other BCR sites as required. This role is available on a full-time basis and will join our broader Customer Service Team. As such, the role will also provide integral support in all facets of the Customer Service Office function, working the equivalent of 2 days per week in that team.
Your duties will include:

Monitoring the My Aged Care Portal and reviewing & accepting suitable referrals

Preparing, completing and maintaining client forms and documentation in accordance with BCR policy, procedure CHSP program guidelines and Aged Care regulatory requirements

Communicating with clients throughout their referral, intake and quoting stages, supporting the Program Lead to ensure all pre-work requirements are completed in a timely manner

Assisting in the planning and coordination of works, including assistance with procuring and organising resources and equipment

Maintaining accurate records within our software ensuring all job completions are accurately entered and closed off in a timely manner for billing and claiming purposes, liaising with other BCR departments in a prompt fashion when necessary

Ensuring our external and internal clients are communicated with regularly, updated on progress and have all correspondence recorded within our client management and internal job request systems, escalating any complaints or complex enquiries to the relevant Coordinator or Manager

Provide essential support to our broader internal and external customer base as part of our Customer Service Team a minimum of two (2) days per week (equivalent), with additional hours during peak periods and for leave coverage
To be considered for this exciting opportunity you must demonstrate the following:

Experience in customer service, administration, or support roles

Excellent organisational skills with the ability to prioritise tasks and manage multiple projects simultaneously

Strong problem-solving, organisation and communication skills
-
Proficient with computer literacy
-
Ability to work collaboratively in a fast-paced environment
-
Unrestricted Drivers Licence, WWCC, NDIS Worker Screening, and/or satisfactory National Police Check
-
Vaccinated against COVID-19 (minimum of a primary dose)
