We are looking for an experienced Executive Assistant (EA) to support our CEO in a full-time role. The position provides high-level administrative, governance, and organisational support to the CEO of St Carthage's Community Care and the Business Manager of St Carthage's Cathedral Parish. This pivotal role ensures the CEO is well-supported, organised, and able to focus on strategic and operational priorities.
The EA manages CEOs schedules and communications, prepares reports and board papers, coordinates meetings, and assists with various projects, compliance and governance matters. As a key part of supporting the leadership team, the role requires initiative, discretion, attention to detail, and a genuine commitment to the mission and values of St Carthage's.
What we're looking for (Essential):
- Demonstrated experience (minimum 3 years) in providing high-level executive assistance, including managing calendars, coordinating meetings, preparing reports, and handling confidential communications.
- Experience in providing secretariat support to boards or committees, including preparing agendas, distributing papers, taking minutes, and monitoring action items.
- Excellent written and verbal communication skills, with the ability to liaise effectively with internal and external stakeholders, including board members, staff, and community partners.
- Exceptional organisational skills, with the ability to manage multiple tasks simultaneously, prioritise effectively, and meet deadlines in a dynamic environment
- Ability to handle sensitive information with discretion and maintain confidentiality at all times.
- Demonstrated alignment with the mission and values of St Carthage's Community Care and the Cathedral Parish, with a commitment to serving the community.
- Respect and uphold the ethos and teachings of the Catholic church and the values of the employer that guide the mission of the Parish.
Desirable:
- Previous experience working in NFP, Aged Care, Disability, Community Care sectors
- Advanced skills in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with cloud-based collaboration tools (e.g., Google Workspace, SharePoint).
- Experience in planning and coordinating events, meetings, and community engagements, ensuring smooth execution and stakeholder satisfaction.
- Knowledge of the religious calendar and its significance for the rhythm of Parish life.
- Ability to work effectively within a pastoral organisation, supporting its mission and community activities in a respectful and inclusive manner.
