Paragon Engineering is seeking a mature professional who can balance executive support with CRM and digital media coordination. This is a hands-on role critical to the smooth running of our business, you'll help develop systems, processes and culture that allow our team to perform at their best.

Paragon Engineering is a specialist consultancy delivering innovative engineering solutions across Australia. Our expertise includes ground and tunnel engineering, bridge engineering, temporary works, structural assessments, and monitoring services. We are known for our ability to solve complex problems through smart design, technical rigour, and close collaboration with clients, contractors, and authorities. 

The Role:

This role blends executive support with responsibility for developing and maintaining our CRM and digital media systems.

You'll help implement and manage HubSpot or Salesforce, ensure data integrity, build reports, and drive effective use across the team. At the same time, you'll support the Director with executive tasks, manage communications, coordinate workflows, and contribute to a consistent, professional brand presence.

Key Responsibilities:

Executive Support

  • Provide leadership across multidisciplinary teams to deliver complex solutions with efficiency and technical excellence
  • Manage communications, scheduling, and follow-ups for the Director.
  • Prepare agendas, minutes, and accurate documentation.
  • Maintain records and compliance across shared drives and project systems.
  • Support project coordination and provide flexible assistance across the business.
  • Act as a trusted liaison with clients, contractors, and agencies.
  • Assist with light recruitment coordination and internal staff recognition initiatives.

CRM & Brand

  • Implement and manage CRM, ensuring data integrity and hygiene.
  • Maintain website and LinkedIn content
  • Coordinate marketing materials and liaise with vendors for updates.
  • Support marketing plans and campaigns aligned with business goals.

Systems & Processes

  • Identify opportunities to improve workflows and reporting.
  • Assist with automation of internal processes.
  • Refine digital tools and templates to improve outcomes for staff and clients.
Requirements

About You

To be considered for the role, you must have

  • At least 5 years' experience providing executive-level support in professional services (engineering, construction, or related sectors preferred).
  • Demonstrated experience with CRM platforms.
  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
  • Familiarity with content management systems (e.g. HubSpot CMS, WordPress) and professional use of LinkedIn.
  • Strong organisational skills with ability to manage multiple priorities.
  • High emotional intelligence and interpersonal skills, with the ability to engage confidently with senior stakeholders.
  • Experience drafting or coordinating marketing & bidding content (case studies, capability packs, social posts).
