What you'll do

  • Autonomously and proactively assign, track, and monitor all incoming and outgoing requests for information, briefing notes, correspondence, and advice on behalf of the branch received from the Office of the Chief Health Officer and Deputy Director-General, Population Health Division, the Director-General, and the Minister for Health and Ambulance Services (the Minister).
  • Review and editing of outgoing correspondence to ensure accurate, timely and relevant information is provided in accordance with departmental guidelines and processes.
  • Maintain an effective electronic document record management system (Content Manager) and manage computerised systems to implement efficient email, tasks and document tracking whilst adhering to protocols that support preparation of correspondence.
  • Liaise and negotiate timeframes and/or escalate with team leader to ensure correspondence is completed in a timely manner in accordance with agreed processes, standards and guidelines.
  • Manage and provide confidential, executive and administrative support to the Senior Director, Provider Regulation, Strategy and Projects Branch, including the compiling of timely high-quality documents, enquiry screening, diary management, itineraries and booking of approved executive travel.
  • Liaise with senior management and other departmental correspondence teams by directing enquiries, responding to emails, teams' calls, and following up on correspondence.

About you

We are searching for someone who has:

  • Demonstrated experience in managing high volumes of incoming and outgoing correspondence, including proof-reading, editing and formatting.
  • Proven ability and experience in effectively managing and prioritising the administrative functions and associated activities for Executive staff including the ability to initiate, determine and follow-up work priorities within mandated and tight deadlines.
  • Demonstrated high level written and verbal communication, interpersonal and negotiation skills, including the ability to communicate effectively with officers at all levels.
  • Demonstrated time management skills and the ability to work both autonomously and collaboratively as a team member to prioritise work, achieve required outcomes and meet deadlines.
  • Knowledge and skills (or ability to acquire) in the use of departmental information management systems, primarily Content Manager.
