About the Role

As our Receptionist and Booking Administrator, you will be the first point of contact for patients and visitors — the face of our business. You'll also play a critical role in managing theatre bookings and daily schedules, which is one of the most important aspects of this position.

Coordinating bookings in an anaesthetic practice requires strong attention to detail, confidence, and the ability to think ahead. We're looking for someone who is young at heart, enthusiastic, friendly, and always ready to go the extra mile. This role suits a high-performance thinker who thrives on keeping things running smoothly and takes pride in being a key part of a patient-focused team.

Key Responsibilities

  1. Greet and assist patients and visitors with warmth and professionalism
  2. Answer, manage, and transfer phone calls in a timely and courteous manner
  3. Handle payments via cash and EFTPOS with accuracy
  4. Respond to patient queries and provide clear, helpful information
  5. Manage patient bookings, including consultations and theatre scheduling
  6. Work closely with surgeons' rooms to manage and confirm daily theatre lists
  7. Process Medicare online claims for pre-operative visits
  8. Maintain accurate and timely data entry and patient record keeping
  9. Provide administrative support to the broader team and assist other departments as needed
  10. Be proactive in problem-solving and process improvements
