Position Summary
The Document Control Specialist will play a critical role in supporting renewable energy project execution by managing, organizing, and maintaining all project documentation in accordance with company and client requirements. This position ensures version control, accuracy, and accessibility of technical documents, drawings, permits, contracts, and correspondence throughout the project lifecycle. The ideal candidate thrives in a fast-paced, collaborative environment and brings strong organizational skills, attention to detail, and an understanding of renewable energy project workflows.
Key Responsibilities
- Establish and maintain document control processes and procedures to manage all project documentation for renewable energy projects (e.g., solar, wind, battery storage).
- Receive, log, track, and distribute engineering drawings, specifications, contracts, and vendor data using document management systems (e.g., SharePoint, Procore, Aconex, Documentum).
- Ensure proper version control, document numbering, naming conventions, and metadata consistency.
- Collaborate with engineering, procurement, construction, and project management teams to ensure timely submission and approval of deliverables.
- Maintain accurate records of document revisions, approvals, and transmittals to ensure traceability and compliance with regulatory and client requirements.
- Conduct periodic document audits to ensure data integrity and adherence to quality standards.
- Support project closeout by compiling turnover documentation, operation manuals, and as-built records.
- Train and assist internal teams and contractors on document control procedures and systems.
- Provide administrative and reporting support to management, including dashboards, tracking logs, and document status reports.
Qualifications
Required:
- Associate's or Bachelor's degree in Business Administration, Engineering, Construction Management, or a related field; or equivalent experience.
- 3+ years of document control experience in engineering, construction, or energy sectors.
- Strong proficiency in document management software and Microsoft Office Suite (Word, Excel, Outlook).
- Excellent organizational and time management skills with a high level of accuracy.
- Strong communication and interpersonal skills for interfacing with multidisciplinary project teams.
Preferred:
- Experience supporting renewable energy or utility-scale infrastructure projects.
- Familiarity with ISO 9001 quality standards or other document control frameworks.
- Experience with tools like Procore, Aconex, SharePoint, or Asite.
- Knowledge of engineering document types and workflows (e.g., P&IDs, one-lines, data sheets).
