Position Summary

The Administrative Support Officer - Events and Engagement provides vital administrative and logistical support for

School events and community engagement initiatives. Reporting to the Director of Communications and

Development, this role coordinates event bookings and logistics, manages supporting documentation, and ensures

smooth communication between departments to deliver high-quality School events. The role requires strong

organisational skills, attention to detail, and the ability to work proactively across multiple tasks and deadlines.

Selection Criteria

SC1 Strong organisational and time-management skills: Demonstrated ability to coordinate multiple events and

projects simultaneously, ensuring all logistics, documentation, and communications are accurate and

delivered on time.

SC2 Effective communication and interpersonal skills: Proven ability to liaise professionally with staff, external

stakeholders, and community members, fostering collaboration and ensuring the smooth delivery of School

events and engagement initiatives.

Administrative Support Officer - Events and Engagement

Position Summary

The Administrative Support Officer - Events and Engagement provides vital administrative and logistical support for

School events and community engagement initiatives. Reporting to the Director of Communications and

Development, this role coordinates event bookings and logistics, manages supporting documentation, and ensures

smooth communication between departments to deliver high-quality School events. The role requires strong

organisational skills, attention to detail, and the ability to work proactively across multiple tasks and deadlines.

Key Responsibilities

Under the direction of the Director of Communications and Development, carry out the following responsibilities

to support the effective planning, coordination, and delivery of School and community events:

Event Coordination and Logistics

  • Assist with the planning, organisation, and delivery of key School and community events (e.g. Foundation

Day, staff functions, enrolment events) to ensure they are on time, within budget, and to a high standard

  • Coordinate event-related bookings, including venues, equipment, catering, and other required resources
  • In consultation with relevant staff, prepare and maintain supporting documentation, including risk

assessments and post-event evaluations and summaries

  • Liaise with staff across departments to ensure professional preparation and execution of events
  • Record and maintain accurate event details in the School Calendar and timetable systems
  • Work closely with the Daily Organiser to confirm event timing, room allocations, and staffing requirements

for event-related activities

  • Actively participate in projects where requested, contributing meaningfully to team discussions and

meetings

  • Provide on-site logistical assistance, including setup and pack-down for events as required.

Communications and Documentation

  • Coordinate internal communication related to event planning and requirements
  • Maintain clear records of bookings, schedules, and correspondence
  • Assist with photography and the collection of visual content at School events
  • Support the development and distribution of promotional or event materials where needed
  • Assist in tracking and filing event-related risk assessments and approvals.

General Administrative Support

  • Welcome and assist guests and visitors at School events
  • Provide occasional support for reception duties, phones, or student services
  • Run errands or source materials related to events
  • Participate in team meetings and planning discussions as requested
  • Other key responsibilities as determined by the Principal, Heads of School, Director of Communications and

Development and/or Business Manager.

Relationship Management and General Administrative Support

  • Build and maintain effective working relationships with staff across all areas of the School, including

Senior Leadership

  • Actively contribute to team discussions and participate in projects as required
  • Maintain a clear understanding of the roles and responsibilities of staff supporting School-wide initiatives

  • Welcome and assist guests and visitors on behalf of the Business Manager or Communications team,

ensuring a warm, professional reception

  • Provide backup support for incoming calls and reception duties when required
  • Assist with Student Services tasks as needed during peak periods or staff absences
  • Run occasional errands or source materials to support events and engagement activities.

Knowledge and Experience

  • Proficiency in computing and mobile app use, including GSuite, Microsoft Word, Excel, and social media

platforms

  • Ability to efficiently use the internet for research and idea generation
  • Experience using internal systems and learning new software quickly
  • Prior experience in an administrative, events, or communications-related role
  • Proficiency in photography
  • Experience in videography, graphic design, or data analysis (desirable).

Education / Professional Qualifications

Essential

  • Current Working with Children Check 'Blue Card' or exemption notice

Desirable

  • Current First Aid, CPR certificate
  • Completion of, or working towards, a qualification in marketing, communications, or a related field
  • Training or experience with graphic design tools (e.g. Adobe Photoshop) (desirable).
