How you'll make an impact

The Procurement Officer is responsible for providing day-to-day procurement and procure-to-pay (P2P) support across TFA. The role ensures purchase orders, payments, and supplier records are processed accurately and on time, while maintaining compliance with procurement policies and governance requirements.

Your usual day in the office will include:

  • Support end-to-end P2P activities including raising, amending, and receipting Purchase Orders, monitoring approvals, and ensuring timely and accurate payments to suppliers. Act as a first point of contact for internal queries related to POs and invoices.
  • Liaise with suppliers to resolve day-to-day queries on orders, invoices, or payments. Communicate with business stakeholders to clarify requirements, ensure accurate procurement documentation, and support smooth delivery of services.
  • Maintain accurate records of contracts, Purchase Orders, and supplier information in Coupa (or equivalent system). Assist with compliance by ensuring procurement documentation meets policy and audit standards.
  • Maintain procurement data and databases (Excel and system-based). Produce regular reports on spend, POs, and supplier performance. Support analysis of procurement trends and opportunities for improvement.
  • Proactively identify and resolve issues related to POs, payments, and supplier performance. Escalate risks or recurring problems to senior procurement staff as needed, while proposing practical solutions.
  • Contribute to improving P2P and procurement processes by suggesting efficiencies, reducing errors, and enhancing stakeholder experience.
  • Provide day-to-day support to the Procurement function, ensuring all activities comply with TFA's procurement policies, probity, and governance requirements. Assist in preparing materials for stakeholder communications, reports, and meetings.

Your attributes:

  • Bachelor's degree in business, Finance, Procurement, Supply Chain, Business, or a related discipline.
  • Minimum 1-2 years' experience in procurement, supply chain, accounts payable, or a related field.
  • Exposure to procure-to-pay (P2P) processes, including purchase orders, invoicing, and supplier payments (preferred)
  • Experience working with procurement or finance systems (e.g., Coupa, SAP, NetSuite, or similar) (preferred)
  • Solid Excel skills for data analysis, spend tracking, and reporting.
  • Strong communication skills, both written (email, reporting) and verbal (liaising with stakeholders and suppliers).
  • Attention to detail and accuracy in processing financial and procurement transactions.
  • Ability to problem-solve issues related to POs, invoices, and payments.
  • Good organisational skills with the ability to manage multiple priorities and meet deadlines.
  • A proactive approach to learning and continuous improvement in procurement practices.
  • Strong interpersonal skills with the ability to work collaboratively within a team environment.
