My client is seeking an experienced Resource Coordinator aka Allocator/Scheduler (on the Earth-moving side) to join their family-owned and run company specialising in Earthmoving, Demolition and Civil works.

About the role

Reporting to the Owner and working closely with the Operations Manager, you will operate as the sole Resource Coordinator on the Earth-moving side of the business, gathering detailed information from sites and site supervisors to diligently allocate resources (workers, equipment, machinery etc.) as required. You will be methodical with data entry and confident liaising with clients and internal stakeholders including site supervisors and the contract administrator. 

This role requires excellent problem-solving capabilities combined with a high level of attention to detail and competence with construction-specific scheduling programs and software, as well as excel spreadsheets. The position will require a proactive and reactive skillset. In addition, you will be social media savvy, using relevant media platforms to source materials and identify & qualify tip sites.

Duties & Responsibilities:

  • Gather detailed information from all sites and site supervisors
  • Plan, schedule, and allocate resources to site - i.e. machinery, trucks, and operators to meet project timelines.
  • Ensure optimal use of equipment and personnel across multiple job sites.
  • Organise transport routes and delivery times for equipment and materials.
  • Monitor availability, readiness, and maintenance schedules of vehicles and machinery.
  • Organise and book floats.
  • Communicate job requirements, changes, and priorities to ensure smooth operations.
  • Use Excel and Assigner to diligently to maintain scheduling records, timesheets, and job allocation logs.
  • Act as a central point of contact between drivers, operators, subcontractors, and office staff.
  • Ensure allocations comply with safety regulations and licensing requirements.
  • Utilise social media platforms to effectively source materials and identify & qualify tip sites (i.e. community pages on Facebook, etc.)

Skills & Experience:

  • Excellent communication skills and professionality - you are comfortable liaising with a variety of stakeholders to effectively plan and allocate resources.
  • Experience in civil construction, earth-moving, transport, or demolition scheduling.
  • You're an excellent problem-solver with proactive and reactive tendencies - you have proven ability to plan and allocate resources efficiently across multiple projects.
  • High level of experience and competency with Excel and specific scheduling software.
  • High-pressure environments are your forte.
  • Experience using Assigner or similar scheduling software.
  • Understanding of heavy machinery capabilities, maintenance schedules, and operator licensing requirements.
  • Comfortable with changing schedules, urgent requests, and unexpected operational challenges.
