The role
Working closely to lead all site administrators and work across multiple departments.
You will:
- Successfully ensure the completion of all administration staff half yearly and annual reviews
- Successfully ensure the completion of engagement surveys relevant to administration staff
- Responsible for the recruitment of administration staff and resourcing
- Set timelines, monitor progress, and follow up to ensure projects are delivered on schedule.
- Manage staff daily administrative tasks, including emails, requests, POs, and invoicing.
- Maintain accurate records, including project systems and compliance documents.
- Liaise with customers, suppliers, and internal teams to support smooth project delivery.
- Manage administration tasks
- Work with Operations, transport, maintenance and Sales teams to ensure job tasks across the business are being completed.
- Other assignment/activities when required
- Successful team lead and coach administration staff across business workflow and calendars.
- Ensure administration staff are highly organized, detail-oriented, and proactive.
- Work closely with finance team in managing payments.
- Keep an accurate and updated record of purchase locations and prices
- Share detailed experience to the team across administration and office management

To be successful in this role, you will have:
- Experience in team leading roles or leadership
- Ability to support administrators across multiple sites
- Ability to run meetings and delegate
- Ability to create structure and support to administration function
- Demonstrated customer services experience and demonstrated experience in administration office management
- A driver's license (as you will need to rotate between the sites as required)
- Excellent Microsoft Office and basic experience in general CRM or Accounting packages
- Excellent communication and customer services skills – written & verbal
- Ability to adapt to change and to working autonomously
- Skills in building relationships with internal / external key stakeholders
- Ability to multi-task
- High attention to detail
- Ability to work under pressure and meet deadlines in a fast-paced environment
- A positive, 'can-do' attitude
