Job Description
In our Office Support role, you'll be the heartbeat of our workspace - ensuring our Melbourne office runs smoothly, looks great, and feels welcoming.

We are seeking someone to join us on a casual/temp basis, Monday to Friday from 12:15pm - 5pm.

Your day-to-day may include:
Office Cleanliness & Facilities

  • Overseeing communal spaces, including three kitchens and the bar area
  • Maintaining kitchen tidiness and ensuring essentials (glasses, cutlery, cups) are stocked and evenly distributed across levels
  • Refilling coffee machines, snacks, and other consumables
  • Conducting monthly meetings with the cleaning supervisor and monitoring overall office cleanliness
  • Liaising with the plant service provider to ensure plant health is maintained
  • Troubleshooting minor equipment issues (e.g., printers, VC equipment)
  • Collaborating with the Facilities Manager to identify and resolve safety or maintenance concerns

Office Operations & Vendor Management

  • Onboarding new suppliers and managing vendor relationships
  • Handling credit card reconciliations, setting up purchase orders (POs), and coordinating invoice payments with the Accounts Payable team
  • Monitoring Occupational Health and Safety standards and working with the Facilities Manager to ensure compliance

New Starter & Visitor Coordination

  • Greeting and assisting visitors, including notifying staff of arrivals
  • Submitting access pass requests for new starters and contractors
  • Supporting onboarding processes, including preparing welcome merch packs and ensuring laptops and tech equipment are delivered and ready for new starters on their first day
  • Managing inventory levels for office-wide merchandise

Office Supplies & Mail Management

  • Ordering stationery and other office essentials
  • Monitoring stationery stock levels and reordering proactively
  • Receiving, opening, scanning, and distributing mail
  • Booking couriers and packing parcels
  • Unpacking deliveries and maintaining tidy storage and cupboard areas

Meeting & Event Support

  • Preparing and maintaining meeting rooms
  • Providing coffee and lunch for Board and ELT meetings
  • Ordering catering for office and event needs
  • Liaising with cross-functional teams to support and run internal events
  • Decorating for celebrations and seasonal events
  • Setting up for social gatherings
  • Preparing communal spaces for events and ensuring AV equipment is tested and functional
  • Assisting with quarterly company townhalls, including testing AV and tech setups, and liaising with external tech support when required
