About the Opportunity

As the Personal Assistant / Medical Secretary, you will play a central role in supporting patients through their surgical journey and ensuring the practice runs smoothly each day. You will be an essential part of the patient experience and the growth of the practice - warm, efficient, organised and dependable.

Based in Richmond Victoria, this is an on-site, hands-on, varied role with excellent training, guidance and support. If you are compassionate, detail-oriented, eager to learn with a business development mindset, you will thrive in this environment.


Key Responsibilities
  • Manage the Specialist's diary, patient bookings and procedure scheduling
  • Communicate with patients, GPs, Specialists, Allied Health and hospitals
  • Support patients by providing clear information and timely follow-up
  • Process Medicare and health fund billing, payments and daily banking
  • Maintain accurate patient records in Gentu (training provided)
  • Prepare reports, follow up pathology/radiology results and assist with correspondence
  • Help maintain a clean, organised and welcoming practice environment
  • Participate in improving workflows and enhancing patient care

About You

You may be:

An experienced medical administrator or medical secretary

OR

A nurse looking to move into a practice-based administrative/coordinating role

Most importantly, you are someone with:

  • A caring, patient-focused mindset
  • Excellent communication and a warm, professional manner
  • High attention to detail, accuracy and organisation
  • Ability to multitask and manage your day confidently
  • A willingness to learn and embrace training

Essential: Minimum 2-year experience in an administrative or nursing role. High level of IT literacy and digital technology. A valid Police Check and a Working With Children Check (WWC).

Desirable: Experience with Gentu, Medicare billing, or a Certificate/Diploma in Healthcare Administration/Medical Terminology.
