About the role

We are seeking a highly organised and efficient Office Administrator to join our dynamic team at Lustre Glo Smash Repairs in Marrickville, NSW. As a full-time Office Administrator, you will be responsible for providing comprehensive administrative support to ensure the smooth running of our office operations.

What you'll be doing

  • Answer phone calls, respond to emails, and handle walk-in customer queries about repairs, job progress, or insurance matters
  • Reporting to the owner/manager
  • Act as the first point of contact for customers who enter the shop or call in for inquiries about vehicle repairs
  • Provide regular updates to customers on the status of their vehicle repairs
  • Dealing with issues that arise with customer service
  • Manage and maintain a variety of administrative tasks including data entry, filing, correspondence, and record-keeping
  • Provide excellent customer service to both internal and external stakeholders
  • Coordinate office supplies, equipment, and services. Handling general office tasks such as filing, faxing, and photocopying
  • Maintaining a clean and organized office environment
  • Contribute to the continuous improvement of office procedures and processes
  • Ability to handle multiple tasks and prioritise effectively
  • Strong verbal and written communication to deal with customers, insurance companies

What we're looking for

  • Minimum 5 years of experience in an administrative or office support role
  • Strong organisational and time-management skills with the ability to prioritise tasks effectively
  • Excellent written and verbal communication skills, must be well presented
  • Proficient in using Microsoft Office, Word, Google Calendar suite and have the ability to learn other office software programs
  • Ability to handle multiple tasks and prioritise effectively in a timely manner
  • Strong verbal and written communication skills to deal with customers, insurance companies, and internal staff
  • Ensuring all records are accurate and work is done according to procedures
  • Dealing with issues that arise with vehicle or customer service
  • Attention to detail and a proactive, problem-solving attitude
  • Collaborative team player with a friendly and helpful demeanour
  • Work well under pressure whilst still staying positive and friendly
