The Opportunity

The Department of Parliamentary Services (DPS) is recruiting for a PSL4 Collection Management Officer within the Library Collections section of the Parliamentary Library.

The Parliamentary Library provides high quality information, analysis and advice to Senators and Members of Parliament in support of their parliamentary and representational roles.

The position undertakes activities related to the identification, processing and disposal of collection items, the binding of collection materials, the investigation and capture of electronic items, updating collection data, and liaising with clients, internal staff and external agencies for the successful delivery of library products and services.

Applicants should have a strong client focus, attention to detail, excellent communication and organisational skills, and the ability to work effectively in a team. We require flexible, proactive individuals with strong digital literacy skills and a willingness to learn new skills.

Qualifications in library and/or information studies recognised by the Australian Library and Information Association, or equivalent library experience is also desirable.

Job Specific Requirements:

  • Operate manual storage units and handle collection material weighing up to 6kg.
  • The successful applicant will be required to obtain and maintain a Baseline Vetting (Protected/Restricted) security clearance.

Duty Statement

Branch: Library Collections and Systems

Section: Collection Management

Immediate supervisor: Manager, Collection Development

Under limited/general direction undertake duties in accordance with the agreed standards for the Parliamentary Service Level 4 classification. The duties will include, but are not limited to, the following:

  • Undertake the disposal process for collection items such as monographs and reference serials, including the identification, processing and documentation of collection items marked for disposal.

  • Oversee the binding of collection material and organise complex binding tasks such as the binding of parliamentary publications.

  • Investigate and capture items suggested for addition to the Library's electronic repository.

  • Contribute to the maintenance of library collection and acquisitions records in the library management system, including data remediation work on collection data.

  • Contribute to client service delivery through liaising with clients, internal staff, and external agencies to resolve any issues in library collection management and acquisition of library materials.

  • Contribute to improvements to the section's procedures and guidelines.

  • Contribute to other collection management and corporate activities as required.

Employees of DPS are required to be able, and to be seen to be able, to provide professional advice and services to all Senators and Members without favour or prejudice.

Selection Criteria
  • Experience and knowledge in the use of integrated library systems and the maintenance of library collections.

  • Hold sound bibliographic skills and an ability to demonstrate accuracy while creating, editing and quality assuring library records.

  • Demonstrated probity and high-quality recordkeeping when dealing with financial processes.

  • Ability to work collaboratively as a member of a team and to communicate effectively with clients, staff and external agencies as required.

  • Demonstrate strong digital literacy skills and experience working in an online environment.

  • Have an awareness and/or interest in politics and current affairs.

  • Eligible qualifications and/or other technical requirements: Tertiary qualifications in library or information management are desirable.

Salary

Currently, the salary range for this position is $80,672 - $87,659per annum.

Conditions of Employment

Employment opportunities at Department of Parliamentary Services are subject to a range of conditions prescribed in the Parliamentary Service Act 1999 which include:

  • Australian citizenship – to be eligible for employment with DPS, applicants must be an Australian Citizen.

  • Security clearance and character clearance – the preferred applicant will be required to obtain and maintain a security clearance at the level specified, as well as complete and be deemed suitable through a Nationally Coordinated Criminal History Check.

  • Health assessment – a pre-employment health assessment will be required where there are physical or medical requirements for the role.
