We are seeking an experienced Collection Management Specialist to join our team. This is a challenging and rewarding role that will provide the opportunity to work closely with curators, designers, and external stakeholders to coordinate loans, donations, and logistics for exhibitions.

The successful candidate will have demonstrated experience in a busy registration environment, managing complex correspondence, reporting, and documentation with various stakeholders. They will also possess strong team work skills, adaptability, and the ability to perform complex Collection Management System tasks.

This position involves coordinating operational registration tasks, including receiving and responding to loan enquiries, maintaining current loan agreements, and monitoring and allocating registration work requests. Strong communication and interpersonal skills are essential to cultivate productive working relationships and achieve results.

Key Responsibilities:

  • Liaise directly with lenders and make arrangements for the documentation, transport, receipt, display, and return of loan items for exhibitions.
  • Take a leading role in the art loan program, including documentation and installation of paintings in high-level external stakeholders' offices.
  • Coordinate operational registration tasks, including:
    • Receiving and responding to loan enquiries and maintaining current loan agreements;
    • Coordinate collection access for exhibition preparation, including the monitoring and allocation of registration work requests;
    • Maintain a high level of documentation in the Collection Management System;
    • Contribute to the development and implementation of collection management policies and procedures and the training of new staff.

  • Demonstrated experience in a busy registration environment coordinating operational collection management tasks.
  • Demonstrated experience managing complex correspondence, reporting, and documentation with various stakeholders.
  • Demonstrated ability to perform complex Collection Management System tasks.
  • Demonstrated team work skills and the ability to adapt quickly to a busy environment and flexible work demands.
  • Demonstrated ability to manage stakeholder expectations and to cultivate productive working relationships, to communicate effectively, to achieve results, and to use initiative and sound personal judgement as appropriate to this level.
