The Administration Officer plays a key role in managing customer service, reception duties and various administration tasks.

Reception & Customer Service:

  • Greet and assist visitors, including clients, contractors, suppliers, and delivery personnel, ensuring adherence to safety protocols.

  • Answer, screen, and direct incoming phone calls, emails, and other inquiries promptly and professionally.

Administrative Support:

  • Assist with data entry, filing, tea room supplies, banking, post office collection and part dispatch.

  • Support the team with document preparation, including sales orders, purchase orders, and vendor correspondence.

Office & Facility Management:

  • Maintain a clean, organised, and safe office and reception area.

  • Monitor and order office supplies, safety equipment, and ensure stock levels are maintained for essential items.

  • Coordinate office equipment maintenance and repairs (copiers, printers, etc.)

  • Administer First Aid as required (if appropriate) and update paperwork.

Record Keeping & Documentation:

  • Support an organised system for sensitive documents, including the OH&S system.

  • Assist in maintaining and updating safety and quality control documentation.

  • Assist in coordinating production-related activities, including material orders and inventory tracking.

Health & Safety Support:

  • Support in administering safety programs, training sessions, and compliance audits.

  • Ensure safety signage, instructions, and protocols are properly displayed and adhered to by all visitors and employees.

Key Selection Criteria:

  • Prior experience in an office administration or receptionist role.

  • Experience with office software (Microsoft Office Suite).

  • Strong communication skills, both written and verbal.

  • Organisational and multitasking abilities to handle various tasks.

  • Friendly, approachable, and customer-oriented.

  • First aid.

  • Customer service skills and professional phone etiquette.
