About the role

As the Administration Support Officer, you are integral to the success of V/Line's Operations Group.

You'll be a key part of the South West Region's leadership team, supporting day-to-day operations through a wide range of admin tasks including raising purchase orders, managing calendars, preparing documents, coordinating workshops and meetings, and handling ad-hoc requests. It's an exciting opportunity to help shape the future of V/Line's fastest-growing region while making a real impact behind the scenes.

Key accountabilities include:

  • Manage the calendars for the Regional Manager.
  • Prepare internal communication such as monthly Operations emails and newsletters to all staff, key events, meetings, presentations etc.
  • Serve as the primary contact on the Regional Manager's activities and respond to internal and external enquiries
  • Promote and collaborate in the implementation of new initiatives and drafting new procedures
  • Coordination and ordering of staff uniforms and PPE where required (internal and external) Monitor staff ordering quantities and anomalies
  • Coordinate financial tasks such as quotes for purchases, processing invoices, expense claims, reconciling accounts, and preparing financial reports in accordance with policies and procedures. Investigate, analyse and highlight financial efficiencies within the region

Key selection criteria

  • Year 12 or equivalent.
  • Certificate III in Business/Office Administration (or equivalent) or strong demonstrated experiences to justify equivalent competency and understanding.
  • Proficiency in Microsoft Office Suite and other relevant software applications including Finance
  • Current Drivers Licence (desirable)
  • Previous experience in administrative support role (desirable)

You are a confident and reliable professional with proven experience in administrative support roles, with strong attention to detail, problem-solving abilities, and proficiency in Microsoft Office and SharePoint. You're a team player who loves sharing ideas and getting things done, and you bring a proactive mindset to every task you take on.

Our ideal candidate will possess the following:

  • Completion of Year 12 with experience or an equivalent combination of relevant experience and education/training.
  • Knowledge and experience of financial software packages or systems
  • Organisational and time management skills, with the ability to prioritise tasks effectively.
  • Strong attention to detail and accuracy in data entry and documentation.
  • Effective communication skills, both verbal and written.
  • Ability to work independently with minimal supervision and as part of a team
