About You:

Ability to perform in a fast paced environment.

Strong knowledge of the Administration Function and the Microsoft office suite.

Ability to build strong customer relations and offer a high level of customer service.

Excellent communication skills.

Attention to detail and have a sense of urgency.

Minimum 1 year experience in Logistics.
Primary Responsibilities:
-
Data Entry into Freight 2020 for all Local & linehaul Bookings
-
Checking freight 2020 data entry with actuals from the shared linehaul sheet
-
Checking driver Manifest are correctly entered.
-
Driver SPA print out.
-
Conducting daily checks against the weekly load summary to ensure paperwork is returned in full for each load. By the end of each week ALL load paperwork needs to be returned and accounted for.

Drivers are to be followed up for missing paperwork. Any loads missing paperwork OR incomplete i.e., Missing pallet dockets within 7 days are to incur a penalty.

Driver Penalty register to be maintained and made available for Payroll deduction each Friday.

Overseeing the scanning of all delivery paperwork into the shared folder maintained and organised with the support of the Administration Clerk.

Overseeing the emailing of customers relevant delivery paperwork as per their request. Ensuring all paperwork received is reconciled.

Conducting weekly checks for Outstanding PODS and Pallet Dockets

Monitoring the Hawk Admin group email and responding to all customer queries in a timely manner.

Maintaining records and filing as necessary

Ensuring the office is adequately supplied to operated effectively i.e., all stationery and cleaning supplies are available.

Ensuring the office is supplied with driver run sheets, always connote books & pallet dockets.

Daily reviews of Local driver run sheets to ensure compliance. I.e., Required rest breaks are taken, drivers are not breaching work / rest hours all areas of the run sheet are complete in full. Repeat offenders to incur penalties.

Maintaining a structured filing system for all physical paperwork. All paperwork is placed in boxes, labelled, and stored.

Keeping the admin area clean, presentable, and organised

Reviewing existing administration processes and driving change in the business to improve existing processes to become more efficient.
