Regional Support Administrator

OneSchool Global is seeking a Regional Support Administrator for a 6-month fixed term contract, commencing as soon as possible. The Regional Support Administrator plays a key role in ensuring the efficient delivery of administrative and operational support across the region. This role is responsible for coordinating and providing administrative support across various functions, including facilities, transport, workplace health and safety (WHS), procurement, inventory, helpdesk support, events, communications, policies, and customer inquiries.
Working independently within the Operations team, the Regional Support Administrator provides administrative support to the Regional Director, Project Coordinators, and other staff as needed, contributing to the seamless execution of operational activities.
Key Responsibilities
Operational Administration & Support
- Provide administrative support across regional operations, ensuring compliance with policies and procedures.
- Assist in the coordination and maintenance of workplace facilities, transport, WHS processes, and campus and operational initiatives.
- Maintain accurate documentation, databases and records.
- Manage inventory tracking and procurement processes, including purchase order management, supplier coordination and financial administration e.g. processing invoices and reconciling expenses.
- Administer staff uniform accounts and maintain records for staff benefits such as memberships.
- Assist with onboarding and offboarding processes, ensuring accounts, devices, and access are appropriately managed.
- Maintain confidential employee records and support compliance with regional HR policies.
- Assisting with various OSG awards and gift initiatives.
- Provide coverage and support during regional operations team members' leave.
Helpdesk & IT Support
- Manage and resolve first-line support requests for platforms such as Canvas, Streamline3, Sentral and Office 365.
- Creation and maintenance of parent accounts.
- Answer and direct calls via the OneSchool phone system, ensuring prompt customer service.
- Maintain the internal support site, updating policies, Smartsheets, and contact lists.
- Provide basic troubleshooting support and escalate technical issues as needed.
- Coordinate IT equipment requests, including quoting, ordering, and delivery tracking.
- Setting up laptops and phones for new Regional Support Office staff.
Event & Communications Support
- Assist in planning and coordinating regional events, ensuring smooth logistics and execution.
- Support internal communication efforts by maintaining updates across SharePoint and other digital platforms.
Process Improvement & Team Collaboration
- Identify and recommend process improvements to enhance operational efficiency.
- Provide cross-functional support to the Operations team, assisting with projects and key initiatives.
- Support the Regional Director and Project Coordinators with administrative support as required.
- Ensure clear and effective communication across departments to facilitate seamless collaboration.
About You
- Solid Administration experience with strong organisational, interpersonal, customer service and communication skills.
- Experience managing operational support tasks within a fast-paced environment.
- Proficiency in Microsoft Office 365 and other relevant digital platforms.
- Ability to work autonomously while contributing to a collaborative team environment.
Desirable:
- Experience in an educational, non-profit, or corporate environment.
- Previous experience with procurement, purchase orders and invoicing.
- Experience with ticketed support systems and IT order processing.
