We are looking for an enthusiastic Production Resource Coordinator to join our Production & Facilities team.
About the Role
Under the direction of the Head of Production Operations, the Production Resource Coordinator coordinates technical and production support for the Approved Curriculum in the Teaching Divisions, assist in providing administrative support for the Production Operations Division and respond to student and staff resource enquiries.
Key Accountabilities
- Production Support:
Develop and maintain the Technical and Production Support Schedule for Production Operations according to Teaching & Learning Division requirements. Ensure all support requests are approved in accordance with procedures. Update the Master Schedule to include studio bookings and special events. Draft local procedures as required. - Query Management:
Manage and coordinate Production Operations related queries, referring on where appropriate and seeking out information from the relevant teams where necessary prior to responding. - Stock Management:
Supervise the collection and return of Unit equipment, ensuring all items remain in good condition, and are available for collection in operational order. Develop Unit Store processes and workflows. Coordinate stocktakes and advise on purchasing requirements for the store. - External Engagements:
Under the direction of the Head of Production Operations, manage the engagement and induction of all technical support, administrative support, and production crew, ensuring compliance with current legislation. Oversee and coordinate the work of administrative support, providing on-the-job training where required. - Process Improvement:
Identify opportunities for improvement or to add value to processes within Production Operations, discuss with Head of Production Operations and provide considered input. - Project Coordination:
Coordinate and project manage specific projects as directed. Working with Head of Production Operations and stakeholders to update and monitor project budgets. - External Supplier
Liaise and negotiate with external suppliers and contractors to facilitate the provision of goods and services in support of Production Operations. - Invoicing:
Process invoicing for all Production Operations departments when required such as contracts for service, equipment hire, vehicle leasing, consumables and stationary ordering. - Maintenance Oversight:
Track and process equipment repairs, and maintenance as approved by Head of Production Operations. Maintain oversight on total expenditure across the Repairs & Maintenance budgets. - Staff and Student Instruction:
Instruct students and new staff in use of the room and equipment booking systems and production paperwork when required. - Fleet Oversight:
Manage the AFTRS fleet of production vehicles including registration and insuring of new vehicles, bookings, servicing, repairs, accidents, fines, general maintenance, fuel billing reports and dockets. Ensure compliance with statutory and general requirements. - Divisional Representation:
Represent the section and the Division where appropriate and required. - Administrative Support:
Assist in providing administrative support for the Division and to support the Approved Curriculum in Teaching & Learning Division. - Safe Working Environments:
Create and maintain culturally and psychologically safe learning and working environments. - Other Duties:
There may be a requirement to undertake tasks outside the scope of the responsibilities listed to support the organisation. AFTRS will engage in a conversation should these tasks arise.
About you – You Have:
- Industry Knowledge:
Knowledge of and experience with the film and television industry. - Production Experience:
Experience with film and video production, equipment and facilities. - Computer Skills:
High level of computer skills including experience with spreadsheets and databases. - Organisational Skills:
Demonstrated organisational skills including the ability to set priorities and effectively manage several projects at the same time. - Communication Skills:
Well-developed communication skills including the ability to effectively liaise and negotiate. - Teamwork:
Ability to work effectively within a small, committed team and willingness to assist other staff. - Safe Work Environments:
Experience in fostering culturally and psychologically safe work environments.
