An opportunity has arisen for a Legal Executive Assistant to join the Transactions team, providing proactive executive support to the Partner, as well as secretarial and administrative support to a team of Lawyers. This full-time opportunity is well suited to someone who has had prior experience working within a law firm, in an assistant, secretarial or administrative capacity and is seeking to join a high-performing team, specialising in commercial transactions and tax advisory.
About the role
In this Legal Executive Assistant role, you will work closely with the Partner in the Transactions team to provide proactive executive support, including email and diary management, as well as drafting written correspondence. Furthermore, the role also supports the broader Transactions team by providing reliable and proactive secretarial and administrative assistance to Lawyers. This includes opening, managing and archiving matter files, preparing and formatting legal documents, drafting email correspondence and providing general administrative support.
Your other key responsibilities will include, but are not limited to:
- Ensuring firm procedures are followed in the management of matters, completing conflict checks and issuing Terms of Engagement to clients.
- Collecting and filing matter related correspondence, as well as maintaining and updating records within the firm's databases.
- Preparing, formatting and editing legal documents using track changes, in accordance with the firm's style guide.
- Format & prepare large documents including agreements, deeds, share purchase documents and share transfer forms.
- Monitoring the Partner's inbox and managing client correspondence to ensure timely communication.
- Providing general administrative support including dictation, preparing documents and notes for meetings & other relevant tasks as required.
About you
The successful candidate will be service-focused and demonstrate experience within an Executive Assistant, secretarial or administrative position in a law firm. Previous experience working on matters within Transactions is highly desirable, as is having a strong understanding of legal terminology. You will be proactive and organised, with the confidence to develop trusted relationships with your colleagues to ensure matters are progressing to schedule and that quality work is being provided to clients. You will demonstrate a friendly and professional manner, with a strong willingness to assist clients and colleagues.
The successful candidate will be confident working both collaboratively and independently, able to multitask effectively and consistently contribute to a positive team environment. Proficiency in Microsoft Office, Adobe and Affinity (or similar practice management software) is essential. Clear communication skills, a high level of attention to detail and adherence to CCK Lawyers' policies and procedures will be key to your success in this role.
