About the Role
We're seeking a proactive, emotionally intelligent, and detail-oriented Receptionist / Administrator to be the welcoming face of our firm and the backbone of our daily operations. This role is ideal for someone who thrives in a structured environment, enjoys juggling multiple priorities, and values both client service and internal support.
You'll work closely with our principal accountant and team to ensure smooth office operations, accurate documentation, and timely client communication.
What Your Day Might Look Like
- Warmly greet clients and manage phone/email enquiries
- Maintain a paperless document system and scan/file client records
- Prepare and lodge tax documents with the ATO
- Draft client letters and emails
- Manage petty cash and reconcile transactions
- Liaise with the ATO and ASIC regarding client matters
- Coordinate corporate secretarial tasks and annual company statements
- Maintain office supplies and kitchen cleanliness
- Support urgent tasks and assist with client meetings
- Ensure compliance with lodgement checklists and internal procedures
Skills & Experience
- Exceptional customer service and a warm, professional manner
- Prior experience in reception or administration (accounting firm experience a plus)
- Strong attention to detail and ability to meet deadlines
- Excellent written and verbal communication skills
- High level of computer literacy (MS Office, data entry, document management systems)
- Ability to manage confidential information with discretion
- Willingness to learn and adapt to evolving processes and systems
