About the role

Vida Glow is seeking a Logistics Coordinator to coordinate and manage all logistics activities. This role encompasses daily liaison with freight forwarders, managing global inbound and outbound warehouse movements, and coordinating with 3PL parties and suppliers. Reporting directly to the Operations Manager, this role is crucial for ensuring efficient and effective logistics operations.

Key Responsibilities

• Drive logistics performance across our global network, ensuring products move seamlessly to meet business and customer needs.
• Build strong, day-to-day relationships with our 3PL partners across Australia, the UK/US, and France — tracking KPIs, joining monthly performance reviews, and driving accountability.
• Stay ahead of potential issues by identifying trends and proactively communicating shipment updates to key teams, including Sales and Production.
• Oversee global shipping operations, ensuring all customs and freight documentation (packing lists, commercial invoices, Tradex, etc.) is accurate, compliant, and on time.
• Manage inbound and outbound deliveries by creating planned orders in 3PL systems and coordinating receipt schedules to avoid delays or rejections.
• Maintain and optimise our global transit time matrix across SAGE and Netstock to improve visibility and decision-making.
• Collaborate with Production, Planning, and Customer Service to ensure accurate stock flow, alignment on shipping timelines, and top-tier service quality.
• Partner with warehouse and 3PL teams to monitor performance and product handling, using CRM insights to identify and resolve quality trends.
• Investigate and manage claims or delays with freight forwarders, ensuring swift resolution and communication.
• Lead stock visibility through monthly Stock in Transit (SIT) reporting and quarterly stock counts with 3PL partners.
• Support Finance by validating logistics invoices, analysing freight spend, and contributing to accurate budget forecasting.
• Evaluate and enhance our logistics network — identifying gaps, improving processes, and exploring new warehouse opportunities.
• Document and implement consistent logistics policies and processes to ensure efficiency, scalability, and business continuity.

Required Knowledge and Experience

• Tertiary qualifications in Logistics, Supply Chain Management, or a related discipline.
• 3 + years of experience dealing with freight forwarders, 3PLs, and inventory management functions, with a strong emphasis on international freight, export, and import.
• Strong proficiency in Excel and ERP systems (experience with SAGE X3 advantageous).
• Exposure to business transformation as an end user (ERP, APS and or 3PL implementation projects) and FMCG experience is highly regarded.
• Sound understanding of logistics, inventory management, and stock management.
• Excellent verbal and written communication skills.
• High-level problem-solving and analytical skills.
• Ability to demonstrate a flexible working style, dealing with constant change in a busy environment.
• High level of accuracy and attention to detail is essential.
• Ability to effectively meet deadlines, adapt, and prioritise.
• Be self-motivated while being a team player, with the ability to work both autonomously as well as part of the Vida Glow team.
