Specialist Surgical Receptionist and Personal Assistant

We are a busy and professional Oral & Maxillofacial Surgery clinic looking for a Personal Assistant / Administration Staff member to join our team. This role is ideal for someone with strong organisational skills, excellent communication, and a genuine commitment to patient care.

About the Role

You will play a key part in the smooth day-to-day running of the practice, supporting surgeons and patients alike. The position is full-time (Monday to Friday) and requires flexibility to work across both our Brisbane CBD and Everton Park locations weekly. The role may also require travel to Northlakes bi-monthly to support clinics.

Your Responsibilities Will Include:

·       Answering telephones and responding to patient enquiries in a professional manner

·       Scheduling appointments for new and existing patients

·       Performing ad-hoc administrative tasks and data entry into medical software

·       Issuing invoices and receipts, and managing patient accounts

·       Liaising with referring dentists/doctors, hospital staff, and medical representatives

·       Providing patients with surgical estimates, booking procedures, and coordinating post-op care and follow-up

·       Supporting surgeons and staff in daily practice operations

·       Dental assisting as required (training provided, no prior experience necessary)

Successful Candidate attributes and skills

·       Excellent organisational skills, with the ability to multitask and prioritise

·       Experience as a medical or specialist receptionist (preferred but not essential)

·       Strong computer literacy (Word, Microsoft Office; medical software knowledge advantageous)

·       Initiative and independence, while working effectively in a team environment

·       Professional phone manner, communication skills, and customer service focus

·       Strong interpersonal skills and ability to build rapport with patients

·       Professional presentation and a positive, proactive attitude

·       Ability to work under pressure in a fast-paced environment

·       Flexibility to travel between practice locations

·       Knowledge of billing, Medicare, DVA, WorkCover, and health funds (desirable)
