About Us

Vitrinite is an agile, owner-operated coal company with a growing presence in Queensland's Bowen Basin. As we scale up production and innovations like the HWM300 arrive onsite, we're seeking a Maintenance Administration Officer to support our operational team and help streamline admin tasks in a fast-moving mining environment.

What You'll Do

Core duties include:

  • Assist with Maintenance Contractor Management
  • Maintain Maintenance Compliance & Fuel Registers
  • Maintain site assets/equipment in Safety Culture & Mex
  • Data entry of maintenance data for site reporting
  • Assist with inventory audits of maintenance spares;
  • Assist with generating reports from the MMS for equipment availabilities and reliability;
  • Assist with flights, accommodation and housing for maintenance personnel;
  • Assist with rosters for maintenance personnel and maintenance contractor personnel

You Bring

  • At least 2 years' administrative experience, ideally within mining and / or maintenance
  • Proficiency in Microsoft Office - especially Excel (data manipulation, pivot tables), Word, and Outlook
  • Excellent written and verbal communication skills; comfortable preparing meeting minutes and operational summaries
  • Strong organisational skills, attention to detail, and ability to deliver on tight turnaround in a dynamic, shift-based workplace
  • Experience with maintenance management systems (MEX, Pronto) is a plus
  • Team-focused, can manage multiple tasks under pressure, and is proactive with follow-through
