Position Overview:

We are seeking a Document Controller/Construction Administration professional to join our team. This entry-level position offers an excellent opportunity to build a career in the construction industry while developing essential project coordination and document management skills.

As a pivotal member of our Project Management Team, you'll embark on an exciting journey supporting major construction projects and refurbishments within the Defence sector.

Key Responsibilities:

Focusing on the key documentation for project start-ups & hand overs

  • Establish and maintain project filing systems, both digital and physical, ensuring all documentation is properly organised and readily accessible
  • Process, distribute, and track all project-related documents including drawings, specifications, submittals, RFIs, change orders, and correspondence
  • Assist with the compilation of project closeout documentation including as-built drawings, warranties, and operation manuals
  • Manage document version control and ensure all team members are working from current revisions
  • Maintain document registers and logs to track document status and workflow
  • Scan, file, and archive project documents in accordance with company standards and project requirements
  • Serve as a point of contact for document-related inquiries from project team members, subcontractors, and consultants
  • Coordinate with project managers, site supervisors, and design teams to ensure documentation requirements are met
  • Follow up on outstanding submittals, approvals, and documentation
  • Support quality control processes by ensuring document accuracy and completeness
Requirements:
  • Required:

  • High school diploma or equivalent; associate's degree or diploma in construction management, business administration, or related field preferred

  • Strong organisational skills with exceptional attention to detail
  • Proficiency in Microsoft Office Suite, particularly Excel and Word
  • Excellent written and verbal communication skills
  • Ability to manage multiple tasks and prioritize effectively in a fast-paced environment
  • Self-motivated with a proactive approach to problem-solving
  • Strong ability with Microsoft Office Suite including Word, and Excel to achieve success
  • Impeccable verbal and written communication skills
  • Organisational skill to run with multiple projects
  • (Desirable) Ability to Produce Environmental Management Plans (EMP) for construction
  • Australia citizenship and ability to obtain Security Clearance

Preferred:

  • Previous experience in construction, architecture, or engineering office environment (internships or co-op experience welcome)
  • Familiarity with construction terminology and document types
  • Experience with document management software or project management platforms
  • Knowledge of PDF management software such as Adobe Acrobat or Bluebeam
