We are seeking a Document Controller/Construction Administration professional to join our team. This entry-level position offers an excellent opportunity to build a career in the construction industry while developing essential project coordination and document management skills.
As a pivotal member of our Project Management Team, you'll embark on an exciting journey supporting major construction projects and refurbishments within the Defence sector.
Key Responsibilities:Focusing on the key documentation for project start-ups & hand overs
- Establish and maintain project filing systems, both digital and physical, ensuring all documentation is properly organised and readily accessible
- Process, distribute, and track all project-related documents including drawings, specifications, submittals, RFIs, change orders, and correspondence
- Assist with the compilation of project closeout documentation including as-built drawings, warranties, and operation manuals
- Manage document version control and ensure all team members are working from current revisions
- Maintain document registers and logs to track document status and workflow
- Scan, file, and archive project documents in accordance with company standards and project requirements
- Serve as a point of contact for document-related inquiries from project team members, subcontractors, and consultants
- Coordinate with project managers, site supervisors, and design teams to ensure documentation requirements are met
- Follow up on outstanding submittals, approvals, and documentation
- Support quality control processes by ensuring document accuracy and completeness
Required:
High school diploma or equivalent; associate's degree or diploma in construction management, business administration, or related field preferred
- Strong organisational skills with exceptional attention to detail
- Proficiency in Microsoft Office Suite, particularly Excel and Word
- Excellent written and verbal communication skills
- Ability to manage multiple tasks and prioritize effectively in a fast-paced environment
- Self-motivated with a proactive approach to problem-solving
- Strong ability with Microsoft Office Suite including Word, and Excel to achieve success
- Impeccable verbal and written communication skills
- Organisational skill to run with multiple projects
- (Desirable) Ability to Produce Environmental Management Plans (EMP) for construction
- Australia citizenship and ability to obtain Security Clearance
Preferred:
- Previous experience in construction, architecture, or engineering office environment (internships or co-op experience welcome)
- Familiarity with construction terminology and document types
- Experience with document management software or project management platforms
- Knowledge of PDF management software such as Adobe Acrobat or Bluebeam
