About the role

As the Site Administrator at Speno Rail Maintenance Pty Ltd, you will play a vital role in ensuring the seamless integration of new employees into our dynamic team. This full-time position is based in our Karratha Office, where you will contribute to the overall success of our company by managing the onboarding process and supporting our administrative operations.

What you'll be doing

  • Coordinating the onboarding process for new hires, including scheduling inductions, medicals, training and any other site entry requirements, collecting necessary documentation, and ensuring a smooth transition into the organisation. Booking flights and accomodation
  • Maintaining accurate employee records and updating relevant systems and databases.
  • Providing administrative support to the broader team, including handling inquiries, scheduling meetings, and organising travel and accommodation arrangements.
  • Identifying and implementing process improvements to enhance the overall efficiency of the onboarding and administrative functions.
  • Collaborating with cross-functional teams to ensure a consistent and positive employee experience.

What we're looking for

  • Minimum 2 years of experience in an administrative or onboarding role, preferably within a similar industry.
  • Rail industry experience is preferred but not essential for this position.
  • Strong organisational and time management skills, with the ability to prioritise and multitask effectively.
  • Excellent communication and interpersonal skills, with the ability to build positive relationships with both internal and external stakeholders.
  • Proficiency in using a range of software applications, including Microsoft Office, Pegasus, INX and ERMS.
  • Intermediate level experience with INX software is required.
  • Intermediate level experience with ERMS software is required.
  • Attention to detail and a keen eye for accuracy, with the ability to identify and resolve discrepancies.
  • A proactive and solutions-oriented mindset, with a desire to continuously improve processes and procedures.
  • Australian work rights are required for this position.
