Do you have a knack for keeping people and rosters in perfect sync? Are you the calm in the chaos, able to fill a shift in minutes without breaking a sweat? If so, we want you to bring your skills to CaSPA Care, a respected not-for-profit aged care provider in the heart of South Melbourne.

As our Roster Coordinator, you'll be the heartbeat of our staffing operations — ensuring residents receive exceptional care and our team feels supported. You'll manage rosters for a 24/7 aged care service, liaise with staff and agencies, and handle last-minute changes with confidence and a smile.
This role also includes reception and administration duties, giving you variety in your day and the chance to connect with staff, residents, and visitors.
What you'll be doing
- Create and maintain rosters to ensure every shift is covered and care needs are met.
- Handle shift swaps, leave requests, and urgent replacements with efficiency and fairness.
- Monitor attendance trends and escalate issues where needed.
- Ensure rosters comply with Awards, EBAs, and organisational policies.
- Liaise with staffing agencies when required.
- Provide friendly, professional reception and administrative support.
What you'll bring
- 4+ years experience in rostering/scheduling, ideally in healthcare.
- Strong administration and Microsoft Office skills.
- A problem-solver who can work under pressure while staying organised.
- Excellent communication and interpersonal skills.
- A team player who also thrives working independently.
- Empathy, kindness, and an understanding of the aged care environment.
Bonus points if you have:
- Experience in aged care.
- Experience with Humanforce or similar time & attendance systems.
- A Certificate in Administration or similar qualification.
