About The Role:
The Administration Officer Level 3 in the Respiratory Department at John Hunter Hospital is a key contributor to the department's ability to deliver efficient, patient-centred care. This role ensures the smooth operation of administrative processes and provides vital support to both clinical staff and patients.
The position offers dedicated administrative support to four Respiratory Physicians —Managing over 1,700 outpatient appointments annually, the officer is responsible for coordinating clinics, handling patient requests, distributing correspondence, and managing complex diaries — all while maintaining direct, respectful communication with the physicians.
Key Responsibilities:
- Providing sufficient notice and clear communication to patients for ongoing reviews.
- Maintaining highly accurate and consistent data entry across all systems.
- Preparing and distributing patient medication letters.
- Managing complex and sensitive patient records with confidentiality and precision.
- Offering administrative support to the wider multidisciplinary team (MDT).
- Coordinating outreach clinics to improve access for patients in rural regions.
- Attending MDT meetings, recording detailed minutes, and distributing documentation efficiently.
- Identifying workflow barriers for clinicians and assisting with ad-hoc tasks to maximise time for patient care.

What We Are Looking For:
- Experience working in an administrative or office role (healthcare experience is a bonus).
- Good organisational skills – able to manage time, appointments, and tasks well.
- Clear and professional communication skills – in person, over the phone, and in writing.
- Attention to detail – especially when entering data or handling patient information.
- Ability to work with confidential information and respect patient privacy.
- Confident using computers – including email, Microsoft Word, Excel, and booking systems.
- Experience managing calendars or booking appointments.
- Able to work both independently and as part of a team.
- Willing to help doctors and staff with extra tasks when needed.
Able to take notes in meetings and send out clear summaries.
