Yerrabingin is a 100% Aboriginal-owned design studio working at the intersection of culture and design in the built environment. Yerrabingin means "we walk together", we are a team of designers, architects, landscape architects, community engagement specialists, researchers and artists. We are industry leaders in integrating First Nations knowledge, perspectives, and values into projects through our collaborative Designing with Country practice. Working closely with First Nations communities and built environment professionals, our work is grounded in cultural knowledge, ecological kinship, and the unique systems of knowing and being of Aboriginal peoples.

Our collective purpose is guided by a deep respect for First Nations knowledge systems to design and care for Country, allowing Country to sustain future generations.

THE ROLE

We are looking for a detail-oriented
Finance Administrator
to support the financial operations of the studio. In this role, you'll ensure accurate bookkeeping, payroll, invoicing, and financial record management, all essential to maintaining transparency, accountability, and smooth project delivery. You'll work closely with internal teams and external partners within the built environment.

KEY RESPONSIBILITIES:

Processes and Systems - Rivers and Streams

  • Maintain accurate and timely financial records using Xero and DEXT, managing accounts payable/receivable, invoicing, and follow-ups.
  • Process fortnightly payroll, reconcile bank accounts, and handle credit card transactions.
  • Follow up on outstanding payments and communicate with debtors.
  • Ensure compliance with studio policies and Quality Management standards.
  • Help develop and improve financial processes and templates.
  • Support integration of finance systems with internal project tracking tools for better financial visibility.

Project Delivery – Canoes

  • Prepare financial reports to support project and business planning.
  • Collaborate with project leads to monitor budgets and fee allocations.
  • Assist in tracking subcontractor and community invoicing.
  • Ensure all financial documents meet quality standards and confidentiality requirements.

Community Engagement and Relationship Management

  • Communicate respectfully and clearly with Community members regarding invoicing.
  • Ensure invoice processes are transparent, accessible, and culturally appropriate.
  • Support privacy, confidentiality, and Indigenous Cultural Intellectual Property (ICIP) protocols for financial data.
  • Assist with implementing ICIP protocols, confidentiality agreements, and privacy compliance in financial interactions.

WHAT YOU NEED TO SUCCEED IN THIS ROLE:

  • 3+ years' finance or bookkeeping experience, ideally within a design studio.
  • Proficient in Xero, DEXT, MYOB, QuickBooks.
  • Knowledge of payroll and financial compliance in Australia.
  • Strong attention to detail and organisational skills
  • Confident handling sensitive info and clear written/verbal communication.
  • Able to work independently in a fast-paced studio.
  • Familiarity with quality management and financial procedures.
  • Understanding of ICIP, cultural protocols, and experience working with First Nations organisations.
  • Qualifications in business admin, office management, or IT support plus financial system experience for operational/project reporting.
