Office Coordinator/Receptionist

As our Office Coordinator, you'll play an important role in helping our teams deliver on this purpose - keeping our workplace running smoothly and supporting every department with the administration and coordination they need to make a real impact.
This role offers genuine flexibility. It can be worked full-time, or part-time across five days (for example, 9am–3pm). We are also open to job share arrangements for the right candidates. The role is 5 days in our South Melbourne Office
Key Responsibilities
Office Coordination
- Maintain a welcoming reception area for both our office and clinic, greeting clients, visitors and staff
- Keep the office tidy and well-stocked, including kitchen, stationery supplies and equipment.
- Manage incoming and outgoing mail and deliveries.
- Coordinate with the building manager and oversee meeting spaces.
Executive & Team Support
- Provide PA support to the Exec team when needed, including travel bookings and ad hoc tasks.
- Assist the executive team with meeting coordination and occasional event logistics.
- Support different departments with overflow admin tasks and projects as required.
Business Coordination
- Assist with onboarding and offboarding processes, including preparation of materials.
- Help coordinate staff activities and events that bring the team together.
- Manage employee access (swipe cards, etc.) and related administration.
About You
You will thrive in this role if you are:
- Experienced in office coordination, reception, or a similar role (2+ years).
- Comfortable working independently, using initiative, and staying one step ahead.
- Highly organised with attention to detail.
- Skilled at managing competing priorities in a calm and professional way.
- A strong communicator who can adapt your style across different teams and personalities.
