About the Role
We're looking for a proactive, personable Client Services Coordinator to be the first point of contact for our valued clients. This role is perfect for someone who enjoys building relationships, anticipating client needs, and keeping operations running smoothly behind the scenes.
You'll liaise with clients, coordinate their onboarding and ongoing engagements, support our internal teams, and ensure every client interaction feels seamless and cared for.
What You'll Be Doing
In this varied and rewarding role, you will:
• Be the first point of contact for client enquiries, providing warm, professional service.
• Arrange and prepare for client appointments, meetings and staff events.
• Prepare and send Client proposals and engagement letters, coordinate the annual engagement renewals.
• Coordinate client onboarding and offboarding, including system access and handovers.
• Manage client records and set up jobs in our practice management systems.
• Support Directors and Managers with follow-up on proposals and leads.
• Prepare invoices and assist with the monthly billing process.
• Provide administrative support for our office, including answering and directing phone calls, setting up meeting rooms, supporting staff events.
• Contribute to a friendly, supportive, and collaborative team culture.
About You
We're seeking someone who is professional, approachable, and thrives in a client-focused environment. You will have:
• 2–3 years' experience in administration or customer support (professional services experience desirable).
• Strong communication skills – both written and verbal.
• Excellent time management and organisational skills to juggle multiple priorities.
• High attention to detail and accuracy.
• Tech savvy with proficiency in Microsoft Word, Excel, Outlook, and Sharepoint.
• Familiarity with practice management software (e.g. Karbon, Practice Ignition) highly regarded.
• A proactive, can-do attitude with a genuine enjoyment of working with people.
