Client Service Officer (Wealth Management)

Location: Ipswich | Full-time

Description

We're looking for a proactive and experienced Client Service Officer to join the SB Wealth team and support our advisers in delivering exceptional client experiences.

You'll be the first point of contact for client enquiries, working closely with our advice and admin teams to coordinate everything from review packs to implementation paperwork. KEY RESPONSIBILITIES

Client Service & Administration


• Act as a primary liaison for client enquiries, appointments, and documentation.


• Provide high-quality administrative support to Advisers.


• Prepare and maintain client files, ensuring accuracy and compliance with financial industry regulations.


• Enter and maintain up-to-date client details in Xplan, coordinating with internal and external service providers (e.g. FNZ, GBST, Macquarie, HUB24) to ensure data integrity.


• Check and collate completed account documentation, ensuring compliance with Anti-Money Laundering (AML) requirements.


• Manage incoming and outgoing mail, ensuring timely processing.


• Answer telephone calls and redirect enquiries as appropriate.


• Perform reception duties, including meeting and greeting clients and preparing refreshments.

Implementation & Review Management


• Assist in the implementation of financial advice, including preparing documentation and application forms.


• Submit and monitor the progress of new applications, rollovers, and requested changes.


• Liaise with external institutions to collect and accurately record client information on Data Collection Forms.


• Prepare Client Review Packs and Plan Presentation Packs for client meetings.


• Complete and submit share documentation for processing (e.g, Off-Market Transfers, Chess Sponsorship Transfers).


• Use Xplan Tasks and Outlook to manage workflow efficiently and ensure compliance with company policies.

Team & Office Support


• Lead and assist in the development of the admin team, proactively delegating tasks and managing workflow.


• Escalate any issues to Associate Advisers or Senior Advisers as required.


• Maintain office presentation, including common areas, meeting rooms, and the kitchen.


• Coordinate functions and seminars, managing guest lists, invitations, and RSVPs.


• Process cash transactions (invoice payments, cash transfers, cheques) in line with company policies.


• Develop and maintain strong internal relationships with Advisers, partners, and other professional associates. This above list is not exhaustive and the role may change to meet the overall objectives of the company.

KNOWLEDGE, SKILLS AND EXPERIENCE


• Experience in client service, financial services administration, or a similar role.


• Strong understanding of financial processes, compliance requirements, and client support.


• Proficiency in Xplan, Microsoft Office (Word, Excel, Outlook), and CRM systems.


• Excellent communication skills and attention to detail.


• Strong problem-solving skills and ability to work in a fast-paced environment.

Desirable
:


• Diploma or Certificate in Business, Finance, or a related field.


• Experience working with financial institutions such as Macquarie, UBS, or HUB24.


• Knowledge of ASIC regulations and financial services compliance requirements.
