Job Opportunity: Rostering Officer

NoosaCare is seeking a detail-oriented and proactive Rostering Officer to join our team and ensure our workforce is always in the right place at the right time. This vital role supports our mission to deliver exceptional care by ensuring our staffing schedules meet operational needs while supporting staff wellbeing and work–life balance.


About the Role

As the Rostering Officer, you will be responsible for the efficient and accurate scheduling of staff across our facilities. Reporting to our Rostering Lead, you'll work closely with managers, and staff to ensure rosters are compliant, cost-effective, and meet the needs of both residents and employees. Your ability to juggle priorities, anticipate staffing requirements, and resolve scheduling challenges will play a key role in the smooth running of NoosaCare.


Key Responsibilities

  • Undertake day to day administrative tasks such as data entry, engaging agency staff, and supporting the rostering team.

  • Excellent organisational skills with ability to prioritise and complete work within established deadlines and a proactive approach to problem solving.

  • Highly developed communication skills with the ability to maintain strong attention to detail.

  • Building and maintaining effective working relationships with a range of stakeholders.
  • Develop, maintain, and distribute staff rosters that align with operational requirements and staffing levels.
  • Liaise with department managers to understand staffing needs and fill roster gaps promptly.
  • Monitor staff availability, leave requests, and skill mix to ensure appropriate coverage.
  • Accurately record and update staffing changes in relevant systems.
  • Work closely with payroll to ensure roster accuracy and timely wage processing.
  • Communicate roster changes clearly and promptly to affected staff.
  • Monitor unplanned absences and arrange appropriate coverage.
  • Support workforce planning initiatives to optimise resource allocation.

Qualifications & Experience

  • Previous experience in rostering or workforce scheduling (aged care or healthcare preferred).
  • Proficiency in rostering software and Office 365 applications.
  • Strong organisational and time management skills.
  • High attention to detail and accuracy.
  • Ability to work under pressure and meet deadlines.
  • Excellent communication and interpersonal skills.
  • Knowledge of relevant awards, enterprise agreements, and compliance requirements.

Key Performance Indicators

  • Timely and accurate delivery of rosters.
  • Compliance with organisational policies.
  • Minimal roster errors and efficient payroll processing.
  • Effective management of unplanned absences.
  • Positive feedback from staff and managers regarding rostering processes.

Compliance Requirements

  • Current national police check (renewed every 3 years).
  • Completion of mandatory training and departmental meetings.
  • Adherence to NoosaCare policies and the Aged Care Code of Conduct.
  • Successful completion of a six-month probationary period.
  • Provision of required certifications and references prior to commencement.
