Purpose of the role
Greater Bank and Newcastle Permanent have come together to form NGM Group, a leader in customer-owned banking.
As our growth journey progresses, we're currently seeking a customer-oriented and solutions-focussed Workplace Officer to assist with the coordination and delivery of our corporate office front desk service, and to play an integral role in our Workplace & Facilities team that enables the day-to-day running of our facilities, including branches and ATMs.
Working closely with the broader team, you'll ensure the delivery of exceptional customer service, as well as building compliance across sites through an effective contractor and supplier management system. This role is also responsible for the delivery of the Mail Room function, as well as general administrative tasks.
What will your key responsibilities include?
- Coordination of our front desk services at our King Street Head Office, including meeting room management, where applicable.
- Delivery of the Mail Room function.
- Supporting the Workplace & Facilities Manager on all maintenance related activity, including reactive and proactive requests.
- Acting as a point of contact for all customer requests and issues raised via the helpdesk portal or email.
- Support for mailroom, general workplace activity, and front desk coverage, when required.
- Ensuring Helpdesk requests are effectively managed, and tasks are responded to in a timely manner.
- Providing support to ensure the PPM (Planned Preventative Maintenance) schedule is followed with the aim of ensuring 100% compliance across the portfolio.
- Providing support for effective Contractor & Supplier management by following the contracts schedule to ensure documentation is in place-
- Ensuring cover is provided for reception, mailroom, workplace management support, and invoicing activities.
- Collaborating with key stakeholders, customers and contractors.
- Identifying and acting on opportunities to improve the efficiency of our operations leading to improved service delivery and/or cost savings.
What are we looking for?
- Solid administration and customer service capabilities with experience working in a customer facing role within facilities, workplace services, or property management highly regarded.
- A friendly and approachable demeanour, with exceptional customer service and communication skills.
- The ability to work independently unsupervised, as well as effectively as part of a collaborative team.
- Strong time management and organisational capabilities.
- The ability to adapt and embrace change.
- Excellent attention to detail.
- Proficient in the use of MS Office.
- Valid Driver's Licence.
