Project Coordinator – Defects & Body Corporate Liaison
Location: Southeast Queensland (Flexible / Remote available)
Employment Type: Part-time (24 hours per week)
Role Purpose
As a Project Coordinator, you'll be the central communication hub between our builder, the Body Corporate, and the project team. Your key focus will be managing defect resolution and keeping the Body Corporate committee informed on project progress—from identification through to completion.
This role is part-time, working 24 hours per week, with occasional site visits required (approximately 2–3 per month).

Key Responsibilities
Defect Coordination
- Act as the primary contact for builder, contractors, and Body Corporate on defect-related matters.
- Log, track, and escalate defects and follow through to resolution.
- Liaise with builders to schedule site visits, rectification works, and re-inspections efficiently.
Stakeholder Communication
- Provide regular, comprehensive updates to the Body Corporate committee on project status and defect resolution.
- Prepare and distribute clear progress reports, meeting notes, and action logs.
- Respond promptly to inquiries from committee members, maintaining professionalism and responsiveness.
Project Support & Documentation
- Maintain accurate documentation, including defect logs, correspondence, and project timelines.
- Coordinate with project managers and site personnel to align repair schedules with overarching project planning.
- Assist with administrative needs such as compiling handover packs and ensuring compliance with Body Corporate guidelines.
Skills & Attributes
- Excellent written and verbal communication—able to adapt to builders, committee members, and internal teams.
- Strong organisation and attention to detail; comfortable managing multiple priorities.
- Calm, professional problem-solver with strong negotiation skills.
- Customer- and stakeholder-focused, prioritising clarity, transparency, and timely updates.
- Tech-savvy: familiar with project management systems, shared drives, Xero, and issue-tracking tools (e.g. CRMs, Snagmaster, Procore).
Experience
- Proven experience in construction project coordination, property management, or defect administration.
- Experience liaising collaboratively with builders, committees, or clients is highly desirable.
- Body Corporate or strata experience is an advantage.
