Transport Operations

The Transport Operations Team Lead is responsible for coordinating final-mile transport arrangements across all modes of freight for their designated client base. This includes the end-to-end management of delivery planning, vendor liaison, invoice checking, and commercial sign-off on transport-related costs within each file. The role plays a critical part in ensuring timely, accurate, and compliant transport outcomes, aligned with department KPIs and commercial performance.
Key responsibilities:
- Transport Planning & Execution
· · Arrange and manage transport bookings for sea, air, and road freight in line with customer expectations and delivery requirements.
· · Liaise with carriers and transport vendors to coordinate delivery schedules and provide real-time updates to customers.
· · Monitor delivery statuses from terminal/depot through to final delivery, proactively resolving any transport delays or issues and keeping the customer informed
- Documentation & Regulatory Clearance
· · Ensure all transport-related documentation relevant to each mode is provided to vendors prior to availability. For LCL, ensuring that we monitor cargo availability and maintain first free day delivery.
· · Confirm shipments are cleared of any ABF or quarantine impediments prior to wharf / depot pick up.
- Commercial & Vendor Cost Management
· · Validate and check vendor transport invoices against accruals and agreed rates.
· · Sign off on the transport element of each file, confirming:
o o Accuracy of vendor charges
o o Correct customer billing of all transport costs
o o Additional transport fees (e.g. storage, redelivery, waiting time, detention) are passed on to the customer and communicated in real time.
· · Ensure accurate WIPS and accruals are entered in advance so the RAFT (AI auto-posting tool) can recognise and post vendor costs correctly.
· · Ensure that any cargo subject to additional handling is billed accordingly and seeing the opportunity to grow the margin in the file by ensuring we are not passing on true costs.

· · Maintain transport-related milestones and documentation in CargoWise so that all milestones visible on NaviaHub are accurate.
· · Comply with departmental KPIs around service delivery, timeliness, and billing accuracy.
· · Collaborate closely with the invoicing operations team to ensure end-to-end file compliance.
