Job DescriptionAbout the Role
The Friends' School is seeking a highly organised and proactive Senior School Executive Officer to provide comprehensive administrative and executive support to the Head of Senior School, Deputy Heads, and Senior School staff.
This role will work closely with key School personnel to ensure the smooth operation of day-to-day administrative processes, coordinate student wellbeing and attendance, and support the delivery of Senior School programs and events.
This is a permanent, part-time position (22.6 hours per week) during term time only.
Key Focus Areas- Promote and uphold the School's commitment to child safety, ensuring any safeguarding concerns are reported through the appropriate channels.
- Provide high-level executive support, including diary management, correspondence, and communication flow for the Head of Senior School and Deputy Heads.
- Assist with student attendance, behaviour, and wellbeing tracking, and follow-up processes.
- Coordinate and provide administrative support for Senior School events, such as leavers' dinners, awards ceremonies, student orientation, IB Core Days, parent evenings, assemblies, and student gatherings.
- Prepare and proofread academic reports and tutor group summaries.
- Maintain and administer internal websites, databases, and communication platforms.
- Manage guest speakers, including catering, room bookings, and compliance with WWVP requirements.
- Assist the Staff Relief Coordinator and undertake other tasks as directed.

Essential Qualifications & Requirements- Commitment to The Friends' School's Purpose & Concerns and to fostering a positive, inclusive, and professional environment.
- An understanding of the 10 National Child Safe Standards and the ability to maintain a culture of safety and respect for young people.
- Strong organisational, written, and verbal communication skills, with the ability to work collaboratively within a team.
- Demonstrated capacity to exercise initiative and responsibility in day-to-day work.
- High level of computer literacy, including word processing, spreadsheets, database management, and email.
- Ability to maintain confidentiality and work professionally with a wide range of stakeholders.
- Current Tasmanian Working with Vulnerable People (Employment) registration and a National Police Check issued within the past six months.
