Moreton Bay Boys' College is seeking a compassionate, proactive and capable Administration Assistant – Student Services to join our vibrant P–12 school community, commencing 16 January

This role is a vital part of our student wellbeing and administration services. You'll be the first point of contact for students feeling unwell—from our youngest Prep students to our graduating Year 12s—and will play a key role in assessing illnesses and administering first aid with calm professionalism and genuine care.

You'll also manage daily attendance records, liaise with families, and support the smooth running of Student Services. Reporting to the Head of Students and ultimately the Head of College, you'll be part of a community that values compassion, excellence and integrity.

This term time plus 4 weeks role offers the perfect balance for someone who values meaningful work and time to recharge. You'll be a trusted presence for students, staff, and families—providing calm, professional support and helping our school run smoothly every day.

Key Responsibilities

  • Welcome and assist students at the Student Services counter with warmth and professionalism
  • Administer first aid and manage the sick bay, including supplies, records, and coordination for events, excursions, and camps
  • Maintain accurate medical records and ensure correct procedures for medication distribution
  • Update attendance records in TASS, including absentees, late arrivals, and early departures
  • Monitor roll marking across the College and liaise with families regarding student attendance
  • Coordinate immunisation programs and liaise with relevant authorities
  • Prepare annual medical alert booklets and review student medical details
  • Provide administrative support to Heads of Sub-Schools, including documentation, bookings, and briefings
  • Assist with parent communication via the College App and Parent Lounge calendar
  • Collaborate with staff across both Colleges and external stakeholders
  • Support the College Leadership Team with additional duties as required
  • Uphold health and safety policies and contribute to a culture of safety citizenship

Skills and Attributes

  • Exceptional interpersonal skills with a warm, approachable manner
  • Strong verbal and written communication skills
  • Ability to work independently, manage time effectively, and prioritise tasks
  • High level of integrity and discretion in handling confidential information
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, SharePoint, Teams)
  • Willingness to learn school-specific systems such as TASS
  • Calm and capable in responding to student health needs and emergencies
  • Collaborative and flexible team player with a proactive mindset

Qualifications and Requirements

  • Experience in a similar role is desirable
  • Must possess or be eligible to obtain a Positive Notice Blue Card from the QLD Department of Justice
