Hampers and Gifts Australia Pty Ltd (HGA), a leading provider of high-quality hampers and gifts, is seeking a Purchasing & Materials Coordinator to join our team in Regents Park, NSW. The Purchasing & Materials Coordinator plays a crucial role in planning and executing the efficient flow of materials into Hampers & Gifts Australia from our suppliers and third-party logistics partners. This role requires close collaboration with warehousing and production to achieve workflow excellence and minimise downtime in production, picking, and packing operations.
This role is part-time for most of the year, but may require occasional overtime during peak season. The preferred work hours are Monday to Friday, 9am to 2pm, but other schedules can be considered.
What you'll be doing
- Create Purchase Orders, communicate with suppliers, track deliveries, and facilitate feedback between HGA and our suppliers.
- Investigate and reconcile mismatches between Purchase Orders, Delivery Dockets, and Invoices.
- Monitor stock levels and optimise inventory holdings between internal and external warehouse locations.
- Verify stock plans and ensure material availability aligns with the production plan.
- Maintain item master data, prepare inventory reports, and provide comments and insights to improve inventory management.
- Manage intercompany purchasing between business entities to effectively supply a variety of demand channels.
- As time allows, assist with a variety of operational tasks, including inventory checks, stocktakes, production assembly, rework, and pick & packing.

- Proven experience in purchasing, inventory, procurement, or materials coordination
- A team player with strong communication and interpersonal skills to effectively liaise across departments
- High level of attention to detail, accuracy, process, and organisation
- Well-developed computer skills, comfortable with Microsoft applications and enterprise software
- Resilient and positive attitude when working in a fast-paced, high-pressure, challenging environment
- Ability to problem-solve and troubleshoot, with a mindset for process improvement and cost reduction
