In this role you will:
- Provide efficient administrative support to the CEO and Executive team.
- Prepare to a high standard communication including emails, letters, reports, presentations and assist with social media and website content as required.
- Coordination of meetings, including arranging venues/rooms, preparing agendas, minute taking and dealing with associated correspondence.
- Ensure communications are recorded accurately and monitored to ensure response in an appropriate and timely manner.
- Arrange travel and accommodation as required
- Oversight of reception and reception role, working collaboratively to ensure effective cover across business hours.
- Maintain and present Board packs and minutes to all Board Members.
- Maintain Board records and documentation.
- Coordinate all property repairs and maintenance and communicate as required with property manager
- Fleet management including ensuring servicing, maintenance, vehicle repairs, insurance, registration and documentation
- Support staff with addressing IT issues and enquiries to external IT provider
- Undertaking analysis tasks and preparation of reports documenting findings as required.
- Managing or assisting in delivering projects. This includes project planning, stakeholder engagement, internal and external reporting, and any other project management activities required.
- Organise all activities relating to events and functions including, but not limited to, venues, invitations, catering, accommodation, and travel.
- Manage contracting systems, ensuring contracts are maintained and up to date
- Other duties specified in the PD
What you bring to the role:
- Demonstrated knowledge and skills in office coordination and management
- Proficient in Microsoft Office suite of programs
- Proficient use of systems that assist with project management and presentations
- Excellent verbal and written communication and interpersonal skills
- Demonstrated experience in accurate and timely minute taking for meetings, including the ability to capture key discussion points, actions and decisions.
- Strong attention to detail, documentation, administration, and timely communication
- High level of problem-solving skills and proficient in strategies and systems management
- High level of initiative and reliability
- Ability to multi-task and manage competing priorities
- Ability to work independently as well as part of a team
- Proven experience dealing with confidential information
- Ability to work within a team environment
- Current NSW Working with Children Check
- Ability to obtain a National Police Check
Desirable criteria:
- Experience in a NFP environment
- Experience of project management and project management support.
