Overview of the job
As part of the administration team, your primary responsibility will be to work closely with the Receptionist and Executive Assistants in providing strong administration and office support.
Reporting of the role
This role reports to Senior Management Team and the Directors.
Responsibilities of the role (including, not limited to)
- Meet and greet clients
- Create a warm and friendly environment for our team and clients
- Manage incoming calls (when Reception is not attended)
- Manage meeting rooms, requests and bookings, liaise with team members
- Maintain presentation of meeting rooms and reception areas – provide tea and coffee for visitors
- Maintain Kitchen
- Organise catering for internal meetings and events
- Coordinate incoming and outgoing couriers
- Incoming Mail - Sort and distribute to Team members and Directors
- Outgoing Mail - create labels, maintain record
- Maintain coffee machine, photocopiers and order supplies as necessary
- Maintain office supplies
- Management of archiving documents and files
- Management of online filing and scanning
- Booking training sessions
- Logging quotes and jobs, and assist management with job cost tracking and assist with invoicing clients
- Support to all Managers and other ad-hoc administrative tasks as required
What you will need
- The ability to juggle numerous tasks with ease whilst working in a fast-paced environment
- A demonstrable track record within a client-centric environment preferably in a similar position within professional services
- Strong interpersonal and relationship skills
- Ability to work autonomously as a committed member of the Administration team
- Exceptional presentation and organisational skills and a professional attitude
- Computer literacy and proficiency in Microsoft Office and Xero (preferable)
- Exceptional communication skills
