Vectiq is seeking an experienced Project Support / Administration Coordinator Officer to support its Overseas and Domestic ICT Fit-out Team. In this role, you will provide administrative, financial, and coordination support across multiple projects, ensuring seamless delivery in a fast-paced and dynamic environment.

What you'll do:

  • Provide administrative and coordination support to the Overseas and Domestic ICT Fit-out Team across multiple projects.
  • Manage project-related logistics including travel bookings (domestic and international), procurement processes, and scheduling.
  • Prepare and maintain project documentation, meeting minutes, and financial tracking reports.
  • Collaborate with project teams, finance, and the PMO to ensure smooth project delivery and adherence to timelines.
  • Monitor and track project expenditure, including managing WBS cost/expenditure spreadsheets and bills of material.
  • Support risk management and issue tracking by coordinating inputs from relevant stakeholders.
  • Perform general operational and administrative duties to assist project management functions in a dynamic, fast-paced environment.

What you bring:

  • Strong administrative and coordination experience across multiple projects.
  • Proficiency in MS Office suite, including Outlook, Word, and Excel.
  • Ability to manage project finances, including WBS cost/expenditure tracking and procurement processes.
  • Experience coordinating domestic and international travel arrangements.
  • Strong interpersonal skills with the ability to work effectively in cross-functional teams of APS and contractors.
  • Excellent verbal and written communication skills.
  • Basic finance background with the ability to manage budgets and track project spend.
  • Previous experience in government or ICT project environments.
  • Highly organised, proactive, and able to manage competing priorities in a dynamic environment.
