Dimeo Cleaning Services has operated in Australia for over 35 years, delivering high-quality commercial cleaning and facilities support services across major corporate, government, and private sector clients. We are privately owned, with contracts in every capital city, and a long-standing record of service excellence. Many of our contracts have been under continuous management for more than 10 years, reflecting our strong client relationships and high operational standards. We are now seeking applications for a Project & Program Administrator to support one of our key client portfolios.
About the RoleThis role is central to ensuring the smooth coordination and delivery of cleaning and facilities management services across multiple sites. You will assist with planning, scheduling, reporting, documentation, and ongoing communication between site teams, contractors, and stakeholders.
The position requires someone who is organised, proactive, and confident managing priorities in a busy operational environment. Strong communication and problem-solving skills are essential, as you will regularly act as a key point of contact for project updates and operational coordination.
Key Responsibilities
- Coordinate, plan and oversee the delivery of programs, projects and services across multiple sites.
- Develop, review and negotiate variations to project scopes and service agreements.
- Respond to inquiries and resolve issues affecting projects, services, and stakeholders.
- Manage documentation, reports, records, and administrative requirements associated with ongoing projects.
- Work collaboratively with Project Managers, Architects, Engineers, contractors, owners and internal teams to ensure project objectives are achieved.
- Advise senior management on project matters requiring attention and implement decisions as directed.
- Oversee contractor work, including monitoring progress, quality, and reporting on any variations or non-conformance.
- Prepare and review submissions, schedules, budgets, and operational reports.
- Collect and analyse project data, evaluate outcomes, and provide recommendations for improvement.
- Support continuous improvement processes and maintain effective communication between all stakeholders.
Qualification
- AQF Diploma or higher in Project Management, Business Administration, or related field, or equivalent experience
- Relevant subjects may include Project Planning, Project Cost Management, Quality & Risk Management, Managerial Effectiveness, Design Management, Project Life Cycles, Scope, Time, and Quality Management Techniques
Employment Information
- Demonstrated ability to apply project management methods to coordinate and deliver projects
- Experience using tools such as Gantt charts, risk matrices, reports, and timesheets
- Practical experience in project administration, ideally in cleaning, facilities, or service-based industries
- Experience in project or program administration, preferably in commercial cleaning, facilities management, or service-based industries
Skills & Experience
- Ability to prioritise tasks and meet deadlines
- Strong organisational, documentation, and reporting skills
- Proficiency with Microsoft Office and project/scheduling tools (e.g., Smartsheet, MS Project, Excel)
- Practical application of project management methods to plan and deliver projects
- Competent with project tools such as Gantt charts, risk matrices, reports, and timesheets
- Excellent written and verbal communication across multiple stakeholders
