About the Role:

We are seeking an Administrative Assistant to join our Operations team to coordinate and oversee day-to-day operational administrative activities and assist in Daily Production Planning for fresh and frozen business units.

Key Responsibilities:

  • Provide administrative support to Operations Team, Contractors, Clients and Visitors.
  • Assist in Preparing, adjusting, and revising the Daily Production Schedules as required and communicating any changes to relevant departments accordingly.
  • Assist in Tabulating and reconciling Daily Forecast, Daily Actual Orders, Stock-On-Hand Inventory, and Actual Production Volume across all customers.
  • Liaise with all internal stakeholders to ensure smooth workflows.
  • Handle office ad-hoc duties such as answering phones, organizing files, drafting letters, scheduling meetings & events.
  • Manage front-end communication with visitors and clients at Reception.
  • Maintain databases and track important deadlines.
  • Process Cash Sales and Staff Sales, if applicable.
  • Raising Purchase Orders for Maintenance and Production.
  • Other administrative duties to support Operations Manager and Office teams, as required.

Requirements:

  • Experience in database management with Proficiency in Microsoft Office Suite (Advance Word & Excel).
  • Strong communication and interpersonal skills.
  • High attention to details, focus and reliability.
  • Ability to present professionally when liaising with internal and external stakeholders.
  • Approachable and Helpful attitude with a positive and proactive mindset.
