This newly created role within our Maintenance Department is seeking someone who enjoys taking ownership and shaping systems and processes. As the Maintenance Service Coordinator, you will play a pivotal role in providing essential administration and operational support to the Maintenance Team, ensuring the smooth coordination of the daily maintenance activities. This role acts as the central point of contact for contractors, suppliers and internal departments, managing work orders, maintaining compliance records, overseeing inventory and assisting in the efficient delivery of the maintenance services throughout the property.
Responsibilities include:
- Serve as the main administrative support for the Maintenance Operations Executive and Maintenance Team.
- Maintain the maintenance office as a central hub for communication, documentation, and contractor coordination.
Coordinate scheduling and access for contractors performing works onsite.
Ensure all contractors have up-to-date licenses, certifications, and insurance documentation prior to commencing work.
- Maintain an accurate and current database of contractor compliance records.
Prepare and issue work orders to internal staff and external contractors in accordance with established procedures.
Monitor work requests through the maintenance management system
- Assist in assessing job requirements, allocating tasks, and coordinating resources with the Maintenance Operations Executive.
Compile and distribute reports on maintenance performance, outstanding works, and contractor activities.
Maintain stock levels of maintenance supplies, tools, and spare parts.
Assist with preparation of maintenance budgets, quotes, and purchase orders when required.
- Support a culture of safety, efficiency, and continuous improvement within the maintenance team.
Skills & Attributes:
- Strong administrative and organisational skills with excellent attention to detail.
- Effective communicator with the ability to liaise professionally across all levels of the organisation.
- Proficient in Microsoft Office and maintenance management systems.
- Ability to prioritise and manage multiple tasks in a fast-paced environment.
- Knowledge of contractor compliance, WHS, and general maintenance processes.
- Team-oriented with a proactive and solution-focused mindset.
Qualifications & Experience:
- Previous experience in a maintenance, facilities, or property operations environment preferred.
- Experience in administration, scheduling, or coordination roles.
- Understanding of contractor management and compliance requirements.
