Melbourne Teaching Health Clinics (MTHC) is a non-for-profit, wholly owned subsidiary of the University of Melbourne and provides world class clinical training opportunities for the Faculty of Medicine, Dentistry and Health Sciences students. It also provides patient access to high quality health care for members of the Victorian community, within a private practice setting. There are six clinical areas that are central to this service, and they include general medical practice, dentistry, optometry, audiology, speech pathology and psychology. About Melbourne Dental Clinic
The Melbourne Dental Clinic (MDC) supervises the graduate and postgraduate students from the Melbourne Dental School to deliver dental services under the supervision of leading dental practitioners in Melbourne. We also have a private dental practice with fully qualified dental practitioners.
What makes our service unique is the availability of a wide range of dental specialties in the one location, including endodontics, orthodontics, periodontics, prosthodontics and paediatric dentistry, as well as general dentistry.

About the RoleJoin our dynamic and patient-focused team at Melbourne Teaching Health Clinics as part of the Melbourne Dental Clinic as a Practice Administrative Coordinator. This role is available for full time 1.0 FTE (38 hours per week) reporting to the Interim Clinic Operations Manager and combines general reception and administration duties with responsibilities for coordinating patient treatment plans.
As a key member of MDC, your responsibilities will include
- Managing patient treatment plans from creation to patient confirmation, ensuring each plan — including fees — is clearly communicated and understood.
- Coordinating appointments and referrals while triaging email and phone enquiries.
- Performing clinical billing and reviews.
- Working closely with dental practitioners to support optimal patient care.
In addition, you will play an important role in delivering a high standard of customer service to patients, students, practitioners and supervisors by creating a welcoming environment, greeting patients on arrival promptly and courteously.

Essential Selection Criteria
- Relevant qualification and/or work experience in a front desk customer service environment with experience undertaking administrative duties relating to coordination of a dental clinical setting (or similar).
- Experience with appointment management and client triage, including ability to liaise with stakeholders to effectively support patient needs.
- Demonstrated experience or aptitude in financial transactions and billing systems (i.e. EFTPOS), supporting patient and clinic financial integrity, and capacity to deal with banks, financial institutions, Medicare and Private Health Insurance.
- Strong proficiency in clinical practice management software MS Office suite, and digital record-keeping.
- Excellent verbal and interpersonal communication skills with the capacity and confidence to deal with a diverse range of people.
- Demonstrated organisational and time management skills, including the ability to manage competing priorities.
- The ability to use initiative to support improvements to customer service and contribute to practice improvement initiatives.
- The capacity to work autonomously but also work collaboratively and effectively within a team environment
